Promotional Product Process

  • Fill Out + Submit Questionnaire: Start by filling out and submitting the above questionnaire. Our supplier, Teresa at Inspire Design Studio, will reach out to you via email within 2-5 business days with additional questions and/or options for the items you are interested in.

    Send Artwork: Please be prepared to send a VECTOR EPS file of your logo or design that you want on the item(s). High-resolution, non-blurry JPEGs, PDFs, or PNGs are also acceptable formats.

    If you are needing help setting up the artwork/design, Teresa at Inspire Design Studio can help you with that. Fifteen (15) minutes of design work is included with orders; however, any time over the first 15 minutes of design work will be charged for. Please inquire about additional design work pricing. If your artwork needs recreation for the vendor to work with, Teresa at Inspire Design Studio will give you an estimate of the time that it will take to recreate before she starts.

    Confirm Order Details: If more information is needed, Teresa at Inspire Design Studio will reach out to you to confirm.

    Proof Setup + Quote: Once all information is received, a virtual proof of the item(s) with imprint will be created and sent for your approval. Any edits can be communicated back and forth. Once the design is locked down, a quote will be sent to verify all costs, including product(s), imprinting, setup charges, sales tax, shipping, extra design work, convenience processing fee, etc.

    Approval + Payment: Once the design and quote are approved and no other changes need to be made, a payable invoice will be sent to you via email. Payment is required at this time. The order will NOT proceed until payment is received.

    Production: Once payment is received, the order will be placed with the vendor. Production time may take a few days up to 3-4 weeks, depending on vendor location, quantity, availability of item(s), false approvals, etc.

    Email communications will be sent when order(s) is placed and any updates on shipping, etc.

    Order Received: You receive your order.

    You will be working with Inspire Design Studio, not Elite Design Assistants, on any promotional product orders. Elite Design Assistants will NOT be held liable for any orders, mistakes, etc.

    Elite Design Assistants does earn a commission from any promotional products orders placed.

  • Setup fees are different for each of the vendors we use. It’s all dependent on what items you are wanting and what vendor has them.

    Any fees above the product/imprinting costs will be communicated during the quoting process.

    Orders do incur a convenience processing fee of 3%.

  • After approval and payment is received, the turnaround/production time can take anywhere from a few days to 3-4 weeks, depending on the item, imprint, item availability, where you’re located, etc.

    Updates on turnaround time will be communicated.

  • Because we work with several vendors to provide you with a wide variety of product options, products may be shipped from anywhere in the world, however, most of our vendors are within the continental United States.

    Shipping time and updates will be communicated.

  • Because promotional product orders are personalized, we do NOT accept returns or issue refunds in any way.

    When providing you with product options, we do include product descriptions, specs, sizes, materials, etc from the vendor. You are responsible for reading through everything to make sure the product is exactly what you are wanting. Inspire Design Studio will NOT be held liable for failure to read through specs.

    We do provide you with virtual proofs before the order is placed, giving you a true example of what the product will look like with your logo or design on it. If you fail to proof or catch any errors during the proofing process, Inspire Design Studio will NOT be held liable.

    If you are needing something fixed on your order after you have received your products, Inspire Design Studio will be more than happy to work with you and the vendor to come to some kind of arrangement.

  • Please know that promotional product ordering takes time and is not immediate. The ordering process will take several days.

  • Promotional products are usually ordered in bulk and have a minimum quantity that needs to be ordered. We will try to accommodate any quantity requests, although there are limitations from the vendors.

  • We work with several vendors around the world and will try to find promotional products that fit all of your criteria. With some requests being very specific/specialized, please be patient as we try to accommodate you.
